Register as a City Vendor

Anyone providing goods or services to the City must register as a vendor to receive payments. Please follow the process below.

The City of Lenexa has implemented an electronic accounts payable solution to process vendor payments through Paymode-X. This program enhances payment security, reduces the risk of fraud, and maximizes financial efficiency. The first payment will be issued by paper check.

Register online

Step 1.Register with Lenexa Vendor Self-Service Portal

Create a new account (or log in to your existing account). Once registered, you can:

  • Manage your vendor account information (including addresses and W-9s).
  • View payment details and account history.

You must upload a completed Form W-9(PDF, 162KB) to your account. The Internal Revenue Service requires a W-9 to confirm a vendor’s taxpayer identification number.

Step 2.Enroll with Paymode-X

Either Paymode-X or a City representative will reach out with the next step. This will occur after the first payment by check has been made.

Paymode-X Basic ACH is free to vendors. Paymode-X Premium ACH has fees attached that will be paid by the vendor. If you have issues signing up for Paymode-X Basic, please contact Paymode at 877.443.6944 or email enrollment@paymode-x.com. The City cannot update or change your payment method.

What is the City's sales tax exemption number?

Our sales tax exemption number is KSB2C55NQW. If your company requires a certificate on file, contact the Finance Department at 913.477.7540.

Please note: K.S.A. 79-3606 (b) statute exempts all sales of tangible personal property and services, including the renting or leasing of tangible personal property, purchased directly by the State of Kansas or a political subdivision thereof, and used exclusively for state or political subdivision purposes.

Can the City provide a tax exempt number or letter to prove status as a tax-exempt organization?

The IRS does not provide a tax exempt number, however we can use our federal identification number for identification purposes. In addition, we have an IRS tax exempt letter that describes our exemption from federal income tax and the Internal Revenue Code sections that pertain to deductible contributions and income exclusions.
